Cancellation & Refund Policy

Last updated October 3, 2026
Summary (shown before payment): The $39 review fee is refunded if you cancel before your clinician begins reviewing your request. Once your clinician begins the review, the fee pays for that medical evaluation and is generally not refunded, even if your clinician decides a refill is not medically appropriate. Medication costs are paid separately to your pharmacy.

1. When a review or visit "begins"

For online refill reviews, your review begins when your licensed clinician starts evaluating your submitted intake. For in-person visits scheduled at our Fairview office, the visit begins when your clinician begins the scheduled encounter.

2. Payment timing

For online refill reviews, you pay the $39 fee before completing the secure clinical intake, or, if you use an eligible BCBSTX PPO plan, we verify coverage before any payment. The amount is shown by the payment processor before you confirm.

3. Cancellation before the review or visit begins

You may cancel any time before your clinician begins reviewing your request, or before a scheduled in-person visit begins, by calling or texting 469-951-0477. If you paid, the full fee is refunded to your original payment method.

4. Rescheduling

You may request to reschedule by calling or texting 469-951-0477. We will make reasonable efforts to accommodate schedule changes.

5. Incomplete intake and missed visits

If you pay but do not complete the intake, the fee is refunded on request, provided no clinical services have been offered or provided (for example, your clinician has not yet contacted you or begun reviewing your request). To request a refund, call or text 469-951-0477. Refunds are not issued automatically.

For scheduled in-person visits, we do not currently charge a separate no-show fee unless a different fee is clearly disclosed before booking. Repeated missed appointments may result in a requirement to prepay.

6. After the review or visit begins

Once the review or visit begins, the visit fee is for the clinician's medical evaluation and is generally nonrefundable, even if your clinician determines that a refill, prescription, laboratory order, referral, or other requested treatment is not medically appropriate, or requires records, testing, additional evaluation, or in-person follow-up first.

7. Technical problems

If a visit cannot be completed because of a significant technical problem and no meaningful clinical service was provided, we will reschedule the visit or refund the fee, at your choice. If a clinically meaningful portion of the visit was completed, your clinician will determine whether rescheduling, follow-up, or another resolution is appropriate.

8. Insurance claims

If we bill your health plan, your balance and any refund depend on how the plan processes the claim, including copays, deductibles, coinsurance, and coordination of benefits. Any overpayment identified after claim processing will be refunded according to payer rules and applicable law.

9. Self-pay election for health plan members

If we participate with your health plan and you prefer to pay the cash price instead of using insurance, you must choose self-pay in writing before your visit. If you do, you may ask us not to share information about that visit with your plan for payment purposes.

10. Medication and pharmacy charges

Our fees do not include medication costs charged by a pharmacy. Refunds for medication purchases are governed by the pharmacy's policies and applicable law.

11. How to request a refund

Call or text 469-951-0477 or email info@americaretelehealth.us with your name, date of service, and a brief description of the issue. Do not include detailed medical information in ordinary email or text.

12. Timing

Approved refunds are submitted promptly to the original payment method. Your bank or card issuer may take additional business days to post the credit.

Insurance visits

BCBSTX PPO patients using the insurance pathway do not pay the $39 self-pay fee upfront. Coverage is verified before the visit. Patients remain responsible for applicable copays, deductibles, coinsurance, non-covered services, and other amounts assigned by the health plan. If coverage cannot be verified, we will contact the patient before the visit and may offer the $39 self-pay option.
