1. When a visit "begins"
A visit begins when your clinician (a physician or nurse practitioner) connects with you by phone or video for your scheduled appointment.
2. Payment timing
When and how payment is collected is shown during the Google Calendar booking flow or by the payment processor before you confirm or pay for your appointment.
3. Cancellation before the visit begins
You may cancel a scheduled visit any time before it begins by calling or texting 469-952-8052 or using the link in your booking confirmation. If you paid in advance, the full visit fee is refunded to your original payment method.
4. Rescheduling
You may request to reschedule by calling or texting 469-952-8052. We will make reasonable efforts to accommodate schedule changes.
5. Missed visits
We do not currently charge a separate no-show fee unless a different fee is clearly disclosed before booking. Repeated missed appointments may result in limits on future online booking or a requirement to prepay.
6. After the visit begins
Once the visit begins, the visit fee is for the clinician's medical evaluation and is generally nonrefundable, even if your clinician determines that a refill, prescription, laboratory order, referral, or other requested treatment is not medically appropriate, or requires records, testing, a video visit, or in-person follow-up first.
7. Technical problems
If a visit cannot be completed because of a significant technical problem and no meaningful clinical service was provided, we will reschedule the visit or refund the fee, at your choice. If a clinically meaningful portion of the visit was completed, your clinician will determine whether rescheduling, follow-up, or another resolution is appropriate.
8. Insurance claims
If we bill your health plan, your balance and any refund depend on how the plan processes the claim, including copays, deductibles, coinsurance, and coordination of benefits. Any overpayment identified after claim processing will be refunded according to payer rules and applicable law.
9. Self-pay election for health plan members
If we participate with your health plan and you prefer to pay the cash price instead of using insurance, you must choose self-pay in writing before your visit. If you do, you may ask us not to share information about that visit with your plan for payment purposes.
10. Medication and pharmacy charges
Our fees do not include medication costs charged by a pharmacy. Refunds for medication purchases are governed by the pharmacy's policies and applicable law.
11. How to request a refund
Call or text 469-952-8052 or email info@americaretelehealth.us with your name, date of service, and a brief description of the issue. Do not include detailed medical information in ordinary email or text.
12. Timing
Approved refunds are submitted promptly to the original payment method. Your bank or card issuer may take additional business days to post the credit.
